Active Directory

Complete User Support billing is done at the Active Directory enabled user-level. It is expected that every user will have their own account for security purposes.

AD for User Billing

Service Providers should work with the Subscriber to determine the correct number of users to include in the proposal. Once the total number of users is determined, Collabrance will compare it to the total number of workstations in the environment. If the ratio is greater than 1.5:1, the exception handling team must be engaged for approval and quote adjustment.

Prior to onboarding, Service Providers need to clean up and update Active Directory to determine the official count of users. Whenever possible, all users should be placed into the following Active Directory Organizational Units (OU’s):

Company OU

  • Active Users (all user accounts in this OU are billable)
      • Site #1 (only necessary if more than one site exists)
      • Site #2
    • Mobile Only Users (all user accounts in this OU are billable)
      • Site #1 (only necessary if more than one site exists)
      • Site #2
    • Disabled Users (all user accounts in this OU are to be disabled and are NOT billable)
      • Site #1 (only necessary if more than one site exists)
      • Site #2
    • Disabled with Mailbox
    • Service Accounts (all service accounts in this OU are system/service accounts and are NOT billable)
    • Generic Accounts (all accounts in this OU are NOT billable, but all users must be accounted for in the Active Users OU)
    • Distribution Groups (not billable)
    • Security Groups (not billable)
    • Computers (not billable)
    • Contacts (not billable)

If the above OU structure is not possible, the Service Provider must notify Collabrance of the exact OU’s that will contain the billable users and also define what is included in all other OU’s.

Counts will automatically be synced between Active Directory and ConnectWise for billing. As users are added and disabled, the user must be moved to the appropriate OU so billing can pull an accurate count from the Active Users OU.
